An estimate says what the roof costs. A proposal is the document the homeowner accepts. This one gives you a scope box, a materials box, a box for what you are not including, the price and payment schedule, and terms you can edit. Below is what to put in each of them for a roof. Workmanship warranty
We guarantee our workmanship for one year from the completion date. Materials are covered by the manufacturer's warranty. This does not cover normal wear, misuse, or work done by others.
Permits
We pull the permits this work requires. Permit fees are billed at cost unless they are already included in the price above.
Cancellation
Either side can cancel in writing before work starts. If you cancel after we have ordered materials or started work, you cover the cost of the work done and the materials bought up to that point.
Dispute resolution
If something goes wrong, both sides agree to talk it through in good faith first. If that does not settle it, we will use mediation before going to court.

What is the difference between a roofing proposal and a roofing estimate?
An estimate is a high level view of the job and roughly what it costs. A proposal has that plus the detail, and it gives the exact amount you expect the job to come to. Once both sides sign it, it is usually binding. Send an estimate while a homeowner is still shopping. Send a proposal when you want the job accepted.
How do I write a roofing proposal?
Start with the scope box and put one part of the job on each line: inspection, tear-off and disposal, any repairs, the new roof going on, and the clean-up. Then fill the materials box, the price, and the payment schedule. The terms at the bottom are already written and you can edit any of them.
What should the materials box say?
Enough that the homeowner knows which roof they are buying. Name the shingle by brand, line, and color, then the underlayment, the ventilation, and the flashing. Homeowners compare roofers on those lines, so leaving them vague costs you the jobs where you quoted the better material.
What belongs in the not included box?
Whatever you cannot see from the ground. Decking replacement is the usual one, since nobody knows what is under the shingles until the tear-off starts. Say it is not in this price and that you will price it before carrying on. That box prevents more arguments than any other part of the document.
